Payment Terms
1. Introduction
Welcome to our Payment Terms and Conditions page. These terms outline the payment policies, billing procedures, project milestones, service delivery conditions, cancellation rules, and refund policies applicable to the services provided by our company.
By confirming an order, approving a proposal, making a payment, or engaging our services, the client agrees to comply with the payment terms and conditions mentioned on this page. We recommend that all clients carefully review these terms before initiating any project or purchasing any service.
Our objective is to maintain transparency, ensure smooth project execution, and establish a clear understanding of financial responsibilities between the company and its clients.
2. Website Development Payment Terms
For website design, website development, and other applicable website-related projects, the payment will be divided into three stages as outlined below.
2.1 Initial Advance Payment – 50%
A 50% advance payment of the total approved project cost must be paid before the commencement of any work. This initial payment confirms the client’s order and allows our team to begin project planning, requirement analysis, design preparation, and initial development activities.
No project work will commence until the advance payment has been successfully received and verified by the company.
2.2 Development Milestone Payment – 25%
An additional 25% of the total project cost must be paid at the agreed structural development stage. This milestone may include the completion of the initial website structure, major page layouts, core design implementation, or another development stage specified in the approved proposal.
The applicable milestone and its payment schedule should be communicated and agreed upon before the project begins. Work will proceed according to the agreed project scope and payment schedule.
2.3 Final Payment – 25%
The remaining 25% of the total project cost must be paid upon completion of the agreed project work. Final delivery, website handover, or other applicable completion-related activities will be handled in accordance with the approved proposal and agreed payment terms.
Any additional work, features, revisions, or requirements outside the originally approved scope may be charged separately.
3. Payment Terms for Other Services
For all services other than website projects covered by the milestone payment structure, 100% advance payment is required before the service begins.
The full payment must be received and verified by the company before any applicable service, campaign, subscription, consultation, maintenance activity, or other work is initiated.
Payments for these services cannot be divided into installments or made on a step-by-step basis unless the company expressly agrees to a different arrangement in writing.
Clients are advised to confirm the service details, deliverables, applicable duration, and total cost before completing the payment.
4. Advance Payment Policy
Advance payment is mandatory for the commencement of all services. The company reserves the right to postpone the start of a project or service until the required payment has been received and verified.
A payment commitment, screenshot of an incomplete transaction, or promise to pay at a later date does not constitute confirmation of successful payment.
The project timeline may be adjusted if payment is delayed, payment confirmation is unavailable, or the client has not provided the information or materials required to begin the work.
5. Payment Methods and Transaction Security
All payments must be made through payment methods or channels officially authorized by the company. Clients should verify the payment details before transferring any amount.
The company shall not be responsible for payments made to unauthorized individuals, personal accounts, third-party intermediaries, or unverified payment channels that have not been approved by the company.
If a payment is unsuccessful, delayed, transferred to an incorrect account, or not received by the company, the client must contact the company with the relevant transaction details.
Clients should never share confidential banking credentials, passwords, OTPs, or other sensitive authentication information with anyone claiming to represent the company.
6. Invoice and Payment Receipt Policy
An invoice, bill, or appropriate payment receipt must be obtained for every payment made to the company. Clients are responsible for retaining copies of payment confirmations, transaction references, invoices, and other relevant supporting documents.
The invoice or bill should, where applicable, contain the following information:
- Client name or business name.
- Invoice number and invoice date.
- Description of the purchased service or project.
- Total service charges and applicable taxes.
- Amount received and any outstanding balance.
- Payment confirmation details, where applicable.
- Service validity period or duration, where relevant.
If a client makes a payment without obtaining a bill or supporting documentation, the client should promptly contact the company to request verification and the appropriate documentation.
Where a transaction cannot be independently verified, the company may request additional evidence before considering any payment-related claim. Any dispute will be reviewed based on the available transaction records and applicable terms.
7. Service Duration and Validity
Services will be provided for the period, duration, or validity date specified in the invoice, approved proposal, service agreement, or other applicable written confirmation.
Clients are responsible for checking the service commencement date, expiry date, renewal requirements, and any other relevant conditions stated in their documentation.
Where a service has been purchased for a defined period, the company will provide the agreed service during that period, subject to the applicable service scope, client responsibilities, technical requirements, and contractual conditions.
A service validity period does not automatically include additional work, new features, extra revisions, renewals, or services that were not included in the original agreement.
8. Non-Refundable Payment Policy
All payments made to the company are considered non-refundable, subject to applicable law and any specific written agreement between the company and the client.
Once a payment has been made, the client cannot automatically request a refund because of a change of mind, a change in business requirements, a decision not to proceed, or a voluntary discontinuation of the service.
For website projects, advance payments cover project initiation, planning, resource allocation, design preparation, development time, and other work associated with the agreed scope.
For other services, advance payments secure the service arrangement and any resources allocated to its delivery.
Nothing in this policy is intended to exclude or restrict any refund, remedy, or other right that cannot legally be excluded under applicable law.
9. Cancellation and Discontinuation Policy
Clients are expected to review and approve the project scope, pricing, timeline, and payment schedule before confirming an order.
A project or service should not be discontinued midway without a genuine and communicated reason. If a client wishes to cancel, pause, or discontinue an ongoing project, the client must notify the company in writing and explain the reason for the request.
The company will review the request based on the project status, work already completed, outstanding obligations, applicable agreement, and relevant legal requirements.
Discontinuation of a service does not automatically entitle the client to a refund. Any outstanding payment obligations will be handled in accordance with the approved proposal, applicable agreement, and law.
Where work is paused because of missing client information, delayed approvals, unpaid milestones, or other client-side dependencies, the delivery timeline may be revised accordingly.
10. Project Scope and Additional Work
The services provided will be limited to the deliverables, features, pages, revisions, and other requirements specified in the approved proposal or written agreement.
Any additional requirements introduced after project approval may require a separate quotation, revised timeline, or additional payment.
Examples of additional work may include:
- Additional website pages or sections.
- New functionality or custom integrations.
- Significant design changes after approval.
- Additional revisions beyond the agreed limit.
- Third-party software, premium themes, plugins, or subscription costs.
- Content creation, data entry, or other services not included in the original scope.
Additional work will be undertaken after the applicable charges and revised requirements have been communicated to the client.
11. Client Responsibilities
Clients must provide accurate information, required content, images, documents, access credentials, approvals, and other materials necessary for the successful delivery of the agreed service.
Clients should review project updates and provide feedback or approvals within a reasonable timeframe.
Delays caused by incomplete information, late approvals, unavailable resources, or changes in requirements may affect the project schedule.
Clients are responsible for ensuring that the materials and information they provide may lawfully be used for the intended purpose.
12. Payment Delays and Outstanding Balances
All payments must be completed according to the agreed payment schedule. If a milestone payment, balance payment, or other required amount remains unpaid, the company may pause the affected work or defer applicable delivery activities until the outstanding amount is resolved, subject to the applicable agreement and law.
Any revised schedule resulting from delayed payments will be communicated to the client where appropriate.
The company may request written confirmation of payment before continuing work or releasing applicable deliverables.
13. Taxes and Additional Charges
The quoted service price will be communicated to the client before payment. Applicable taxes, government charges, transaction fees, renewal charges, third-party subscription costs, and other additional expenses will be identified where relevant.
Unless expressly stated otherwise in the quotation, any additional service or third-party expense outside the agreed scope may be charged separately.
Clients should confirm whether the quoted price includes applicable taxes and third-party costs before making payment.
14. Service Delivery and Completion
The company will make reasonable efforts to deliver services according to the agreed scope and estimated timeline.
Delivery timelines may depend on the timely receipt of payments, client-provided materials, approvals, third-party services, and other project requirements.
For website projects, completion may include the agreed design, development, testing, and delivery activities specified in the project proposal.
Any post-delivery support, maintenance, hosting, domain renewal, technical assistance, or ongoing service will be provided only where included in the agreement or purchased separately.
15. Payment Disputes and Verification
If a client identifies a discrepancy in an invoice, payment amount, transaction status, or service charge, the client should notify the company in writing as soon as reasonably possible.
The client should provide the invoice number, transaction reference, payment date, amount, and relevant supporting evidence to help the company investigate the matter.
The company will review payment-related concerns based on the available records and communicate the outcome through the appropriate channel.
Clients should retain all relevant documentation until the payment and service arrangement have been completed.
16. Changes to Payment Terms
The company reserves the right to revise its payment policies when necessary. Updated terms will be published on this page or communicated through an appropriate written channel.
Unless otherwise agreed in writing or required by applicable law, the terms applicable to an existing project will be determined by the agreement and payment conditions accepted for that project.
Clients should review the latest applicable terms before purchasing additional services or entering into a new agreement.
17. Limitation of Responsibility for Unauthorized Payments
The company cannot guarantee the recovery of payments made through unauthorized channels or to persons who are not officially associated with the company.
Clients must verify the recipient’s identity and payment details before initiating a transaction.
Where a payment has been made through an approved channel but has not been reflected in the company’s records, the company will reasonably assist with transaction verification, subject to the availability of supporting evidence and the applicable payment provider’s procedures.
18. Acceptance of Terms and Conditions
By making a payment, confirming an order, or engaging the company’s services, the client acknowledges that they have read and understood these Payment Terms and Conditions.
Clients are encouraged to request clarification of any payment-related question before proceeding with an order. Any specific written agreement or approved proposal should be read together with these terms.
If any provision of these terms is found to be unenforceable under applicable law, the remaining provisions will continue to apply to the extent legally permitted.
19. Contact Information
For questions regarding invoices, payment confirmation, service charges, payment schedules, or other payment-related concerns, clients should contact the company through its official communication channels.
Please include your name, invoice number, service details, and relevant transaction reference when submitting a payment enquiry so that the matter can be reviewed efficiently.
Important Notice: These Payment Terms and Conditions are intended to explain the company’s general payment procedures. The final terms should be reviewed and adapted to the company’s actual services, written agreements, and applicable laws before publication.
